Health & Safety Policy

1. Statement of Intent

Luxefloor & Co is committed to ensuring the health, safety, and welfare of all employees, contractors, clients, and any other persons who may be affected by our work activities. We recognise that good health and safety practice is both a legal requirement and a moral obligation.

This policy applies to all flooring supply and installation activities carried out by Luxefloor & Co and its contracted workforce across all sites in the UK.

2. Responsibilities

Management

• Ensure all staff and contractors are adequately trained and competent for the tasks they perform
• Provide appropriate personal protective equipment (PPE) where required
• Conduct and review risk assessments for all installation activities
• Investigate all accidents, incidents, and near misses and implement corrective actions
• Keep up to date with current health and safety legislation

Employees & Contractors

• Follow all safe working procedures and site-specific instructions
• Use PPE provided and report any defective equipment immediately
• Report all accidents, incidents, and hazards to management without delay
• Not undertake any task for which they have not been trained or feel unsafe performing

3. On-Site Installation Safety

• All installation teams carry out a site-specific risk assessment before commencing work
• Tools, cutting equipment, and adhesives are used in accordance with manufacturer guidelines and COSHH regulations
• Adequate ventilation is maintained when using adhesives, primers, or solvents
• Work areas are kept tidy and free from trip hazards at all times
• Dust generated from cutting, sanding, or grinding is controlled using dust extraction equipment where applicable
• Heavy materials are lifted using correct manual handling techniques; mechanical assistance is used for large quantities
• Access to work areas is restricted to authorised personnel during installation

4. Personal Protective Equipment (PPE)

The following PPE is provided and must be worn by installation staff as appropriate:

• Safety footwear (steel toe-capped boots)
• Knee pads for floor-level work
• Dust masks (FFP2 minimum) when cutting or sanding
• Safety glasses when using power tools or cutting equipment
• Chemical-resistant gloves when handling adhesives or primers
• Hi-visibility vests on commercial sites where required

5. COSHH (Control of Substances Hazardous to Health)

All hazardous substances used in our operations — including adhesives, primers, solvents, and cleaning products — are assessed under COSHH regulations. Safety Data Sheets (SDS) are maintained and available for all products used. Staff are trained in safe handling, storage, and disposal of these substances.

6. Accident Reporting

All accidents and near misses must be recorded in our incident log. Where an injury or dangerous occurrence meets the threshold under RIDDOR (Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013), it will be reported to the Health and Safety Executive (HSE) without delay.

7. First Aid

A stocked first aid kit is carried by all installation teams. At least one member of each installation crew holds a current first aid at work qualification. Emergency contact numbers including local A&E and NHS 111 are readily available on site.

8. Fire Safety

Flammable materials such as adhesive solvents are stored safely in accordance with fire regulations. Smoking is strictly prohibited in and around any work area. Emergency evacuation procedures are communicated to all team members at the start of each job.

9. Policy Review

This Health & Safety Policy will be reviewed annually or following any significant change in operations, legislation, or following a serious incident. All staff and contractors will be notified of any material changes.
